Definitions

We are both controllers and processors.
We will do our utmost to ensure data we hold is up to date, but of course we do rely on you to let us know if for example you move or change your phone number or email address.
What information do we collect?

When you complete a form on our website, we may ask you for your name, e-mail address, postal address and your telephone number(s). This is so we can contact you easily if required.
Planning
Name, address, email address, phone number, plans, title plans.
Valuation Services
Names, email addresses, bank addresses, phone numbers, property addresses, purchase details, sold details, details of bank loans in £.
Management Services
Names, email addresses, property addresses, insurance policies, H&S details, phone numbers, tenancy references. ID e.g. passport or photo driving licence and a utility bill.
Residential Letting Services
Names, email addresses, property addresses, insurance policies, H&S details, phone numbers, tenancy references. Right to rent ID documents for example – passport, NI, visa, work permit, utility bill?
Commercial Agency Services

How we collect personal data
We may collect your personal data in a number of ways principally,
- Directly from you
- From someone else acting on your behalf e.g. an agent or solicitor or surveyor
Our basis for processing personal data and the purpose for which we use it.
Any personal data relating to you will be used and recorded by us in accordance with current data protection legislation and this Privacy Policy.
We must have a lawful basis for process which is different depending on what we are doing.
For example, if we market available properties to you we may need your consent to process your personal data and you have a right to opt out of receiving these marketing emails.
If we are managing a property on behalf of the landlord or a residents’ management company, then we process data based on contract and you do not have a right to opt out.
If you are considering using our services and we don’t yet have a contract with you, but you have asked us to do something as a first step e.g. give a quote, we can process your personal data under the lawful basis of contract.
We do not collect special category data for example about race, religion, genetics etc.
We use the information collected from you to help in any issues you may have relating to this website. We may use your personal information to communicate with you, for record keeping purposes, and in aggregate (and therefore anonymously) for market research purposes, to track activity on our site, to publish trends and/or to improve usefulness and content. We do not sell, trade or rent your personal information to other parties.
How long we will store your data
For the purposes of statutory limitation all data is kept for 6 years however our policy for insurance purposes is that we keep data for 12 years before destroying it.
In terms of planning services undertaken by the Council, we send the paper files handed back to the Council when completed

We may share your details with our employees. We do not share anyone’s details with third parties for the purpose of marketing.

With architects, the local council, with your other instructed contractors
Valuation
Details are only shared between the client and ourselves. Our reports are caveated to say they should not be shared to any other party.
Management
With contractors for the purposes of effecting repairs, with insurers, with Directors of management companies or landlords. T&H Computer Services Ltd, our management software provider
Residential Lettings
With contractors for the purposes of effecting repairs, with insurers, with Directors of management companies or landlords
Commercial Agency
With Landlords and Prospective tenants, with contractors for the purposes of effecting repairs, with insurers, with Directors of management companies or landlords.
Your rights in relation to your personal data
Under the GDPR, you have the right to

- Require us to correct the personal data we hold about you if it is incorrect
